Privacy Policy for AI Services and Custom GPTs

This Privacy Policy applies specifically to AI-powered services and Custom GPTs operated by Vertical Internet Media Limited trading as OutsourcingFit (“OutsourcingFit”, “OSF”, “we”, “us”, or “our”), including but not limited to the Custom GPT titled “Anti-Money Laundering for AU Real Estate Agencies.”
This policy supplements, and does not replace, OutsourcingFit’s general website Privacy Policy.
1. Purpose and Scope
OutsourcingFit provides AI-enabled tools, including Custom GPTs built on the OpenAI ChatGPT platform, to deliver informational, educational, and operational support services.
These GPT services are designed to assist businesses with structured guidance, planning, and implementation support. They do not provide legal advice or make automated decisions with legal or regulatory effect.
This policy explains how information is handled when users interact with OutsourcingFit’s AI services and Custom GPTs.
2. Information Processed
When you interact with OutsourcingFit’s GPT services, the following information may be processed:
• Text prompts, queries, and instructions submitted by the user
• AI-generated responses
• Limited technical metadata associated with the interaction (such as timestamps or session context)
In addition, with your explicit consent, OutsourcingFit’s GPT services may collect and retain limited business contact and contextual information, including:
• Agency or business name
• A work email address (retained as a contact detail)
• The email domain associated with that address (used as an agency identifier)
• Australian state or territory
• High-level business characteristics and implementation notes provided by the user
• AML/CTF guidance outputs, decisions, and action items generated or confirmed during use of the GPT
The email domain may be used as a stable identifier to support continuity across sessions. The full work email address may be retained solely as a business contact detail where consent has been provided.
OutsourcingFit does not intentionally collect:
• Government-issued identification documents
• Customer due diligence (CDD) or enhanced due diligence (ECDD) source documents
• Financial account details or transaction data
• Health or medical information
• Sensitive personal information, unless voluntarily and knowingly provided by the user
Users are strongly advised not to submit confidential, regulated, or sensitive personal information into GPT services.
3. Consent-Based Recording
Information is only recorded or retained externally where:
• The user is clearly informed what information will be recorded
• The purpose and scope of recording are explained
• The user provides explicit consent
Users may decline consent and continue to use GPT services without persistence or record creation.
4. Purpose of Processing
Information processed through GPT services is used solely to:
• Respond to user prompts and generate AI-assisted outputs
• Provide informational, educational, and operational guidance
• Support continuity across sessions where consent has been given
• Enable structured implementation support and progress tracking
• Maintain records associated with outsourced operational support where applicable
• Monitor for misuse, abuse, security, or system integrity issues
GPT services do not perform automated decision-making with legal or regulatory effect.
5. Storage and Retention
Depending on configuration and user consent:
• Inputs may be processed transiently to generate responses
• Information may be retained temporarily for operational or quality purposes
• Consent-based business information may be recorded in OutsourcingFit’s secure operational systems (such as Google Workspace)
Where information is retained, it is kept only for as long as reasonably necessary to fulfil the purposes described in this policy or to meet applicable legal, compliance, or operational requirements.
Users may request access to, correction of, or deletion of retained information in accordance with applicable privacy laws.
6. Data Sharing
OutsourcingFit does not sell personal information.
Information processed through GPT services may be shared only with:
• OpenAI, as the underlying AI platform provider
• Infrastructure and service providers required to operate and support the GPT services
Information is not shared for advertising, profiling, or unrelated marketing purposes.
7. Third-Party Platforms
GPT services operate on third-party platforms, including OpenAI’s ChatGPT infrastructure. Use of GPT services is also subject to OpenAI’s own terms of service and privacy policies.
Where consent-based recording involves third-party tools (such as Google Drive), those platforms’ privacy and security controls also apply.
OutsourcingFit does not control OpenAI’s data retention or processing practices.
8. User Responsibilities
Users must not submit:
• Information they are not authorised to disclose
• Personal data of third parties without appropriate consent
• Confidential client, employee, or commercially sensitive information
• Content that is unlawful or infringes third-party rights
Users remain responsible for the appropriateness of information they choose to provide.
9. Security
OutsourcingFit applies reasonable organisational and technical safeguards to protect information processed or retained through GPT services. However, no system can be guaranteed to be completely secure.
10. International Processing
Information may be processed or stored in jurisdictions outside the user’s country, including where OpenAI or OutsourcingFit’s service providers operate.
11. Changes to This Policy
This policy may be updated from time to time. The current version will always be published on the OutsourcingFit website. Continued use of GPT services after updates constitutes acceptance of the revised policy.
